Getting Started

  1. Create an account at indexburg.com using your email
  2. Connect Google Classroom in Settings to import your courses and student rosters
  3. Set up attendance by connecting Zoom or Google Meet in Settings
  4. Create sessions for your classes and start tracking attendance
  5. Generate reports and send them to guardians via WhatsApp

Google Classroom

  • Connect: Go to Settings → Google Classroom and click Connect. Authorize with your Google account.
  • Import courses: After connecting, your courses and student rosters will sync automatically. You can choose which courses to import.
  • Sync assignments: Coursework, grades, and submissions are imported for report generation.
  • Disconnect: Go to Settings → Google Classroom and click Disconnect. Your data will remain in Indexburg but syncing will stop.

Attendance

  • Create a session: Go to Attendance → New Session. Set the course, date, time, and online tool (Zoom or Google Meet).
  • Auto-start meeting: Enable in Settings to automatically create the Zoom/Meet meeting when the session starts.
  • Manual tracking: You can also mark attendance manually by clicking students present/absent in the session page.
  • Edit logs: Click on any attendance record to adjust join/leave times or mark corrections.
  • View history: All past sessions are available in the Attendance section with full participant logs.

Zoom Integration

  • Connect: Go to Settings → Attendance and click Connect next to Zoom. Authorize the app in the Zoom popup.
  • Create meetings: Set a session's online tool to Zoom and click Create Meeting. The meeting link appears on the session page.
  • Auto-tracking: When participants join, their name, email, join time, and leave time are recorded automatically.
  • Reconciliation: For paid Zoom accounts, Indexburg runs a post-meeting check via Zoom's Reports API for extra accuracy.
  • Participant emails are encrypted with AES-256-GCM before storage.
  • Reconnect: If your token expires, disconnect from Settings and connect again.

Google Meet Integration

  • Go to Settings → Attendance and click Connect next to Google Meet.
  • Authorize with your Google account. Meetings created through Indexburg will have attendance tracked automatically.
  • Google Meet participant data is handled the same way as Zoom — only join/leave timestamps are used for tracking.

WhatsApp Messaging

  • Set up: Go to WhatsApp settings and add guardian phone numbers for your students.
  • Send reports: Generate a report from the Reports section and choose Send via WhatsApp.
  • Opt-out: Recipients can reply "STOP" at any time to stop receiving messages.
  • Managed inbox: Replies to messages open a managed response window. Recipients will not see your personal phone number.
  • Consent: You must obtain consent from recipients before sending messages through Indexburg.
  • Billing: WhatsApp messaging uses credits. See our pricing page for details.

Reports

  • Generate: Go to Reports, select a course and date range, and choose what data to include (attendance, grades, coursework).
  • Preview: Review the report before sending. You can customize the message template.
  • Send: Reports can be sent via WhatsApp or email to guardians. Each recipient gets an individualized report.
  • History: Past reports are saved and can be re-sent or viewed at any time.
  • Auto-reports: Schedule recurring reports to be sent automatically on a daily, weekly, or monthly basis.

Billing & Premium

  • Free Forever: Basic features including attendance tracking, reports, and student management are always free.
  • Parent-recipient subscriptions: WhatsApp report delivery, parent alerts, and automated messaging require a Plus or Pro subscription, priced per student per month by parent phone region.
  • Manage subscriptions: View plans and subscription details in the Premium and Usage sections of the app.
  • Refunds: You may request a refund within 14 days of purchase if the subscription has not been used during that period.
  • Questions: Contact [email protected] for billing inquiries.

Account Management

  • Reset password: Use the Forgot Password link on the login page. A reset link will be sent to your email.
  • Update profile: Go to Settings → Profile to update your name, email, or phone number.
  • Delete account: Contact [email protected] to request account deletion. Your data will be permanently removed within 30 days.
  • Assistants: You can add teaching assistants to your account from Settings → Assistants. Assistants can manage sessions, attendance, and reports on your behalf.

Removing an Integration

To disconnect an integration, go to Settings → Attendance and click Disconnect next to the provider. Your data will remain on Indexburg, but attendance tracking for that provider will stop. To fully remove Indexburg from your Zoom account, go to Zoom Marketplace → My Apps and remove Indexburg.

Data & Privacy

When you connect Zoom or Google Meet, we access meeting metadata and participant join/leave information solely for attendance tracking. We do not access or store meeting recordings, chat messages, or any other content.

All sensitive data is encrypted at rest using AES-256-GCM. OAuth tokens are encrypted with a dedicated key. Participant emails are encrypted before storage. See our Privacy Policy and Terms of Service for complete details.

Troubleshooting

"Zoom access expired. Please reconnect your account."

Your Zoom authorization has expired. Go to Settings → Attendance, click Disconnect next to Zoom, then Connect again.

Google Classroom not syncing

Try disconnecting and reconnecting Google Classroom in Settings. Make sure you grant all requested permissions during authorization.

Participants not showing in attendance

Ensure participants joined the meeting after it started. Attendance is tracked via webhooks that activate when the meeting begins. Check that the online tool is correctly set to Zoom or Google Meet in the session.

WhatsApp messages not delivering

Verify that guardian phone numbers are correct and include the country code. Recipients may have opted out by replying "STOP". Ensure you have sufficient credits.

Can't log in

Use the Forgot Password link on the login page to reset your password. If the issue persists, contact support with your account email.
