Zoom Integration Guide

How to connect your Zoom account and track attendance

1. Connect Your Zoom Account

  1. Go to Settings → Attendance
  2. Under Online Meeting Integrations, find Zoom and click Connect
  3. You will be redirected to Zoom's authorization page
  4. Sign in to your Zoom account and click Authorize
  5. You will be redirected back to Indexburg. The Zoom card should now show Connected with your plan name

2. Create a Zoom Meeting from a Session

  1. Go to Attendance and open an existing session or create a new one
  2. Set the Online Tool to Zoom
  3. Click Create Meeting — a Zoom meeting is created using your account
  4. The meeting link and ID will appear on the session page
  5. Share the meeting link with your students or start the meeting directly

Optionally, enable Auto-start Meeting in Settings to automatically create the meeting when the session starts.

3. How Attendance Tracking Works

Once the meeting is live and participants join, Indexburg automatically tracks attendance:

  • Join events: When a participant joins the meeting, Indexburg records their name, email, and join time
  • Leave events: When a participant leaves, Indexburg records their leave time and total duration
  • Real-time: Attendance logs update in real-time as participants join and leave
  • Reconciliation (licensed accounts only): For paid Zoom accounts, Indexburg runs a post-meeting reconciliation via Zoom's Reports API for additional accuracy

Participant email addresses are encrypted with AES-256-GCM before storage. Names are stored as-is for display purposes.

4. View Attendance Logs

  1. Open the session page while the meeting is active or after it ends
  2. The Attendance Logs section shows all participants with join/leave times
  3. You can manually add, edit, or remove attendance records if needed
  4. Reports can be generated and sent to guardians through the Reports section

5. Disconnect Zoom

To disconnect your Zoom account from Indexburg:

  1. Go to Settings → Attendance
  2. Next to Zoom, click Disconnect
  3. Your Zoom OAuth tokens will be revoked and deleted from Indexburg
  4. To also remove Indexburg from your Zoom account, go to Zoom Marketplace → My Apps and remove Indexburg

6. Troubleshooting

Cannot connect: "Zoom OAuth is not configured"

The Zoom integration may not be available yet. Contact support.

"Zoom access expired. Please reconnect your account."

Your authorization has expired. Go to Settings and click Disconnect, then Connect again.

Participants not showing in attendance logs

Ensure participants joined the meeting after it started. Attendance is tracked via Zoom webhooks which activate when meetings begin. If issues persist, contact support.
